Your mission

As the Asset Manager, you will play a vital role in ensuring an accurate and detailed inventory of the organization’s software and hardware assets is up to date, applying the information gathered in making the best decision concerning IT-related purchases, use and redistribution for the organization. You will be the first point of contact for the business for all matters concerning IT Assets, acting as an internal hardware/software maintenance and licensing consultant and providing guidance as required. You will work closely with ITSG Leadership and subject matter experts, Procurement, Legal, Finance and business stakeholders to provide support and advice.

To be successful in your role, you will need a good understanding of Tier 1 Software and Hardware vendors, desire to learn and remain current in your knowledge, excellent organizational and communication skills, great attention to detail and the ability to balance competing priorities.

The successful Asset Manager has strong relationships across the technical teams within the IT Service Group, Service Delivery and Procurement.

What you'll do

  • Perform daily and long-term operational and strategic management of hardware and software assets.
  • Plan, monitor, and record hardware assets and software licenses and their entitlements to make sure they comply with vendor contracts.
  • Consult the business about products, solutions and technology partners related to IT assets.
  • Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the Configuration Management Database (CMDB) throughout their lifecycle.
  • Create an accurate IT Asset definition and ensure the CMDB is up to date and verified with automated reporting and real time dashboards that provide an accurate view of IT assets for decision making and establishing compliance with regulations and policies.
  • Develop and maintain company-wide Asset Management processes (request -> procure -> deploy -> monitor -> support -> retire/re-use), policies, standards, systems, measurements and documentation to help the organization to effectively manage both on a daily basis and long-term its IT asset portfolio.
  • Understand assets we gain through acquisition and ensure we are able to assess, ingest and curate data within our repository.
  • Establish and maintain hardware and software maintenance database - a list of all hardware maintenance, software license agreements + relevant support agreements, including entitlements, support team contract details, escalation paths, etc and made available to our operations teams where needed.
  • Control assets under contracts ensuring the organization doesn’t use IT assets more than what is licensed for, pay for IT Assets which they no longer use/have or underutilized.
  • Assist in inventory management, procurement and shipment activities to ensure appropriate delivery and stakeholder engagement
  • Stay on top of changing product use rights with key technology partners, flagging any changes, investigating the impact and suggesting resolution.
  • Help eliminate waste and increase efficiency by making the best use of existing IT asset resources and avoiding asset purchases that are unnecessary.
  • Retire assets securely and effectively to ensure adherence to environmental regulations and data security policies as well as improve IT asset reuse.
  • Manage activities concerning license compliance audits to be able to answer to requests from software editors effectively.
  • Active risk management - ensure any risks related to the organizations use of IT Assets are identified, escalated and managed. 
  • Collaborate with infrastructure teams to determine trends in asset performance.
  • Perform research on industry best practice and incorporate it with organizational practices.

What you'll bring

The ideal Asset Manager will possess some or all of the following attributes:

  • Strong knowledge of IT software and hardware as well as experience working as an IT asset analyst.
  • Strong knowledge and experience working with a CMDB and ITSM tools and the specific business services and products that they support.
  • Proven ability and experience in executing strategic asset management processes successfully.
  • Profound knowledge of licensing agreements involving software, solutions, services and maintenance including Tier 1 vendors such as Microsoft and Cisco.
  • Strong vendor management and negotiation skills.
  • Strong knowledge of IT Service Management processes.
  • Ability to manage multiple concurrent objectives or activities, and effectively make judgments in prioritizing and time allocation in a high-pressure environment.
  • Demonstrated ability to carry out assigned tasks independently with little supervision.
  • Demonstrated experience in building effective professional relationships and maintain contacts with internal and external stakeholders.
  • Excellent communication and interpersonal skills.
  • Flexibility and the ability to work outside of normal business hours and adapt to change.
  • Ability to work and communicate effectively in a multi-office environment and willingness to travel to other offices overseas as required.
  • Extremely organized with a strong attention to detail.
  • Ideally possess IAITAM Certification, such as CHAMP, CSAM, or CITAM.
