What you'll do

  • Prioritise and coordinate inquiries and requests to ensure smooth day-to-day engagements
  • Manage communication by screening calls, letters and emails to determine which require priority and bring to attention which communication is appropriate to deal with independently
  • Maintain filing systems and assist with presentation and report preparation as well as collate and submit monthly expenses
  • Assist with some personal affairs e.g. relocating, setting up bank accounts etc. Provide overviews for all TRVs and PURs needing approval
  • Schedule regular and occasional meetings (in person or calls) with internal and external parties, help organise calendars and avoid schedule conflicts, including booking meeting rooms or dial in details and external venues when needed
  • Arrange lunches/dinners with clients/teams as required – book restaurants and set up invites. Assist with organising management meetings; from sending invites to distributing info and sourcing venue, equipment etc
  • Handle all travel arrangements (domestic and international) including hotel accommodations, airline reservations, rental cars, off-site meeting venues, and expenses
  • Schedule Town Halls and collate agendas from participants
  • Compose and type agendas and correspondence for special events, board meetings, committee meetings and development activities
  • Collate and distribute meeting action lists as requested. Take meeting minutes
  • Provide support with ad-hoc projects when necessary
  • Any other tasks as required.

What you'll bring

  • Excellent planning, organisational and multi-tasking abilities with attention to quality and detail
  • Ability to work in a fast-paced environment in an organised manner
  • Strong initiative and judgment skills with project management experience
  • Excellent interpersonal skills, with the confidence and ability to work and communicate effectively with all levels of professionals both internally and externally
  • Ability to learn quickly, work independently and in a team setting
  • Ability to manage multiple projects at any one time
  • Enthusiastic self-starter who is able to work with minimal direction
  • Significant experience and knowledge in a similar role assisting a dynamic senior executive and leadership team
  • Experience of handling highly sensitive and confidential information while maintaining a high degree of confidentiality at all times
  • Ability to communicate in Spanish an asset
  • General capacity to learn and adopt new skills and technologies rapidly
  • In particular, proficiency in the following is required: Microsoft Office Microsoft Word Microsoft Excel Evernote Visio
  • Occasional international travel may be required
