The Workshop is seeking a Front of House & Office Coordinator to join our team based in our London office next to Oxford Street. The ideal candidate will be both proactive and engaging. 

What you'll do

The first point of contact for all London office employees and visitors at front of house reception. Responsible for ensuring the Company operations run effectively and efficiently. To have strong attention to detail, thrive in a demanding environment and have the ability to tackle competing priorities. This position is pivotal to facilitate operational success by providing a wide range of services in a fast-paced, multi-tasking work environment.

Key responsibilities include:

  • Main point of contact at front of house reception where all internal and external visitors will be greeted and assisted in a courteous and professional manner;
  • Ensure the reception area & meeting rooms are maintained in a clean, tidy and secure condition.
  • Responsible for ensuring refreshments in meeting rooms and stationery area are stocked. 
  • Meeting room management i.e. conflict of appointments etc.
  • Order and coordinate catering requests.  
  • Create and maintain an electronic filing system for work transparency and efficiency 
  • Responsible for mail duties, including distributing post/packages to staff, sending mail, booking local couriers, and international shipping. Ensuring correct procedures and tracking are maintained.
  • Answer all incoming phone calls and direct inquiries to the appropriate person.
  • Issue access cards to new starters, visitors & contractors, in line with security restrictions & keep the system up to date.
  • Ensure sufficient stock of office supplies and place orders, including stationery, printer supplies, catering supplies and Thirsty Thursday drinks.
  • Conduct induction office tours for new starters and visitors in the absence of Events & office Coordinator/Office Manager
  • Responsible for coordinating Osteopath/Acupuncture appointments, including reminder emails to office staff
  • Co-ordinate with hiring manager and send new starter email to office
  • Assist with on-boarding new hires – desk allocation, new starter welcome email and dietary form
  • Liaise with internal travel team to ensure visitors receive Welcome Email, allocate desk(s), update systems accordingly & liaise with ITO desktop team to ensure weekly set-ups are complete.
  • Update seating plan and visitors on WIKI – weekly
  • Keep office occupancy number log updated and send weekly to HR
  • Assist with setting up events
  • Assist the Office Manager in coordinating company building management issues and maintenance services. Ensuring maintenance record is kept up to date, followed up and reports filed onto system.
  • Raise purchase orders as required in-line with company procedure
  • Act as a First Aider for the office.
  • Ensure First Aid boxes are fully stocked and compliant
  • Other administrative duties and projects as required.


What you'll bring

  • Solid experience in a front of House/Reception capacity
  • Ability to adapt and provide support in a fast-paced, customer-focused environment;   
  • Complete fluency in English, both written and spoken is essential;
  • Must have great communication and organisational skills, the ability to multitask, and a willingness to learn and grow;
  • Self-motivated, resourceful, and able to work with minimal supervision;
  • Flexible, driven and team-oriented;
  • Internet savvy and a comprehensive understanding of Microsoft Office and advanced knowledge of Microsoft applications;
  • Ability to work under pressure, handle multiple tasks, and meet tight deadlines;
  • Hard worker and a proactive problem solver;
  • Well-presented and professional with a friendly and positive disposition.
