Operations Specialist (Data Centre Operations)
Role Overview
The Operations Specialist is responsible for the day-to-day execution of Faoba DC’s customs operations, goods legalisation processes, regulatory filings and administrative obligations within the Tocancipá Free Trade Zone.
This role operates with full autonomy over all Faoba DC Free Trade Zone requirements, acting as the primary point of contact with the Zona Franca administration, DIAN and other relevant authorities on all Faoba-related matters. The position provides dedicated operational coverage and ensures a clear separation of entity representation as the business scales. The successful candidate will be accountable for maintaining Faoba DC’s compliance, regulatory standing and administrative operations end-to-end.
Key Responsibilities
Free Trade Zone Customs Operations
Execute the end-to-end legalisation process for equipment and materials entering under customs control through INTERCOMEX.
Maintain accurate daily entry records for Data Centre operations.
Act as the liaison between Procurement, Workplace, IT, Engineering teams and external suppliers regarding customs-related activities.
Process Merchandise Movement Forms (FMM) for the entry and exit of operational equipment, ensuring full compliance with DIAN regulations.
Coordinate and oversee international shipping logistics for warranty and RMA equipment, working closely with customs agencies, freight forwarders and Free Trade Zone authorities.
Lead and coordinate semi-annual Free Trade Zone inventory audits, ensuring all required documentation is prepared and submitted within established deadlines.
Manage documentation and regulatory processes related to physical asset transfers and asset destruction procedures.
Regulatory Reporting & Compliance
Consolidate operational data and prepare quarterly reports on job creation and investment commitments for submission to MinCIT (Ministry of Commerce, Industry and Tourism).
Own the preparation and coordination of the annual external audit conducted by EY, ensuring all supporting documentation is complete, accurate and audit-ready.
Collaborate with HR and Finance teams to collect and validate information required for regulatory and audit purposes.
Analyse daily operational records across Procurement, Workplace, IT and Engineering functions to support reporting accuracy and continuous process improvement.
Administration & Stakeholder Management
Manage company documentation, permits and licences required to maintain Faoba DC’s legal and operational standing within the Free Trade Zone.
Coordinate technical filings and submissions with the Curaduría, Tocancipá Planning Department and Free Trade Zone authorities for facility expansions, modifications and related projects.
Serve as the primary point of contact with the Zona Franca administration for all operational and administrative matters affecting Faoba DC.
Facility Operations Support
Create, monitor and manage Jira tickets related to facility maintenance activities, including preventive and corrective maintenance as well as groundskeeping services.
Coordinate permits, documentation and compliance requirements for heavy-lifting operations, including crane manoeuvres involving generators, condensers and other critical infrastructure.
Provide on-site coordination and escort support for specialised technical personnel, including internet service providers deploying fibre-optic infrastructure and other third-party contractors.
What We're Looking For
Essential Qualifications & Experience
Bachelor’s degree in Business Administration, Industrial Engineering, International Business or a related discipline.
2–4 years of experience within Free Trade Zone operations, foreign trade, customs agencies or DIAN-regulated environments.
Strong knowledge of Colombian customs regulations and Free Trade Zone legislation, including Merchandise Movement Form (FMM) processes.
Proven experience preparing regulatory reports and managing compliance-related documentation independently.
Advanced proficiency in Microsoft Excel and/or Google Sheets for data consolidation, reporting and analysis.
Strong communication and stakeholder management skills, with the ability to interact effectively with government authorities, external partners and internal teams.
Ability to work independently and manage multiple priorities within a compliance-driven environment.
Desirable Qualifications
Postgraduate studies or specialised training in Customs Law, International Trade or Free Trade Zone Operations.
Experience using INTERCOMEX or similar customs management platforms.
Previous experience preparing reports for MinCIT or equivalent government institutions.
English language proficiency for internal communication purposes.
Working Conditions
Full-time, on-site role based at the Tocancipá Free Trade Zone.
Daily presence at the facility is required.
