The role

Junior People Operations Specialist is an all-encompassing role that will support the People Business Partnering department. The successful candidate will be someone who has strong attention to detail, thrives in a demanding environment and has the ability to tackle competing priorities. This position is pivotal to facilitate operational success by providing a wide range of services in a fast-paced, multi-tasking work environment. You will have responsibility for the daily functional and administrative tasks of the department and will work closely with the other members of the team in a variety of projects.

 

What you'll do

  • Update, verify, and maintain electronic information in HRIS as well as hard copy records maintained in the department. 
  • Prepare new employee files and termination files, enter data into Data Base systems and communicate relevant information to others within the Company.
  • Maintain and update the People Business Partner intranet page and other internal documents.
  • Prepare various written communication including contracts and offer letters, employment verification letters etc. and other HR–related confidential documentation.
  • Coordination of the first day and last day protocols: communication to all parties involved, such as the People team, Desktop Support, Office Admin and Management.
  • Assist with payroll as required.
  • Assist with compiling various HR reports on an ad-hoc basis.
  • Administration of benefits. Inform employees of the scope of the benefits, set up benefits for new employees and their dependents, update of family and personal information, communication with benefits providers, review of invoices by the insurance carriers.
  • Communicate Employee Handbook information to employees.
  • Assist with relocations.
  • Attendance tracking: holiday, sick leave, other leave, family rights.
  • Coordination and submission of documents for maternity, paternity and other family-friendly leave.
  • Coordination of Health and Safety protocols.
  • Participate in conducting HR audits of records, personnel files, benefits and other HR programmes and systems. Ensure resulting action items are completed. 


What you'll bring

  • 2 -3 years of previous in-house experience in an HR or People Operations role.
  • Expertise managing payroll and contracts is essential. 
  • Proficiency in Excel and Microsoft Office pack. Prior use of SAP or HRIS is an advantage.
  • Bilingual English/Spanish language skills.
  • Proactive attitude, self-motivated, resourceful, and able to work with minimal supervision and within a team environment.
  • Diligent, with excellent attention to detail and organizational skills. Ability to multitask and a willingness to learn and grow.
  • Ability to handle sensitive and confidential information appropriately.
  • Excellent interpersonal, and communication skills.
  • Strong problem solving skills and the ability to provide sound judgment.
  • High degree of adaptability and flexibility to change.
  • Ability to work under pressure, handle multiple tasks, and meet tight deadlines.
  • University degree.
